1 Introduction
Frontia Attorneys Ltd (“Frontia”) processes personal data in accordance with applicable data protection legislation, including the General Data Protection Regulation (2016/679).
Frontia wants to ensure that your data is collected and processed in accordance with applicable data protection legislation confidentially and solely for the purpose for which it has been collected. This Privacy Policy describes how Frontia processes personal data used for client assignments, marketing, recruiting as well as Frontia’s website frontia.fi.

2 Purposes and legal basis for processing personal data
The processing of personal data may be based on consent, an agreement between you and Frontia, a legal obligation to which Frontia is subject to or any other legitimate interests of Frontia. The personal data subject to this Privacy Policy is processed for the following purposes:
Providing legal services
Frontia’s primary purpose for processing personal data, is to provide advocacy services to our clients.
Personal data in our client register is collected and processed mainly in order to manage and perform client engagements as well as for invoicing purposes. Such data may contain e.g. names, contact details, information on counterparties and invoicing information of our clients’ or their representatives. Depending on the legal matter, this information may also contain sensitive personal data related to the matter assigned to Frontia.
Personal data is processed based on an agreement between the client and Frontia or based on Frontia’s legitimate interest, in which case data processing is necessary in order to take steps at the request of the data subject prior to entering into an agreement.
Marketing and maintaining client relationships
Frontia processes personal data in order to maintain client relationships and to conduct marketing actions. Such actions may include e. g. sending invites to events organized by Frontia or providing information on news and updates relating to Frontia. The personal data in Frontia’s marketing register may include e. g. the names and contact details of clients, potential clients and their representatives, business partners and attendees to prior events organized by Frontia. Personal data is processed based on Frontia’s legitimate interest.

Recruiting
The personal data of applicants is processed for recruitment purposes. Personal data is processed based on a consent given by the applicant and it consists of information received from the applicant, such as basic individualising information, educational information and information concerning on-going and former work experience.
Complying with legal obligations
Frontia processes personal data in order to comply with its legal obligations, such as obligations based on Anti Money Laundering-legislation and Know Your Customer-legislation. In order to comply with such legal obligations, Frontia may collect and process necessary data e.g. on the management of your company.

3 Categories of personal data and how we collect it
The personal data processed under this Privacy Policy contains following categories:
individualising information, which includes names, titles or positions, dates of birth, personal identification numbers, passport numbers, email addresses, telephone numbers and postal addresses;
client matter information, which includes invoicing information and correspondence between the client’s representatives and Frontia;
information on marketing and maintaining client relationships, which includes information on participation to events organized by Frontia, dietary preferences and opting out of marketing actions;
information on recruitment, which includes educational information and information concerning on-going and former work experience;
information on online identifiers, including strictly necessary cookie identifiers.
Frontia may also process sensitive personal data in connection to the client matter and the assignment at hand when necessary for the handling of an assignment.
The personal data processed under this Privacy Policy is primarily collected from the data subjects themselves but can also be collected from open sources.
4 Recipients of personal data and transferring personal data outside the European Union
Personal data is processed by Frontia’s employees and contracted or otherwise authorized individuals, such as Frontia’s service providers, only to the extent necessary when the processing of personal data is required for them to fulfil their obligations. With its service providers, Frontia has entered into appropriate agreements to ensure that personal data is processed in accordance with applicable laws and regulations as well as Frontia’s Privacy Policy.
Frontia may share personal data with authorized third parties when it is necessary in order to fulfill a statutory obligation or a court order.
For other reasons than the abovementioned, Frontia shall not share personal data subject to this Privacy Policy to third parties unless it has the data subject’s explicit consent.
Personal data subject to this Privacy Policy is located primarily in within the European Union.
Frontia’s service providers may transfer personal data to third countries. When personal data is located in servers located outside EU/EEA, transfer of personal data is protected by measures such as Standard Contractual Clauses adopted by the European Commission or equivalent appropriate legal safeguards adopted by the General Data Protection Regulation. Transfer of personal data may also be protected by selecting data recipients that are certified to the EU-U.S. and Swiss-U.S. Privacy Shield frameworks.
6 Storing period of personal data
Frontia does not store personal data for longer than is legal and necessary for the purposes of the processing of such data. The period of storing varies according to the nature of the data and the purpose for which it has been collected and processed.
7 Data subjects’ rights
In accordance with applicable privacy legislation the data subjects have the following rights concerning the collection and processing of their data:
right to access their own personal data processed by Frontia and get a copy of it,
right to have information within their own personal data rectified,
right to erasure (‘right to be forgotten’) unless there is a legitimate ground not to erase their data,
right to restriction of processing their personal data in cases where e.g. erasure is pending,
right to data portability in a commonly used format,
right to object to the processing of their personal data under certain circumstances,
right to withdraw their consent on data processing at any time without it affecting the lawfulness of processing based on consent prior to withdrawal,
right to lodge an appeal at the local supervisory authority if they consider Frontia’s processing of personal data unlawful.

8 Technical and organizational safeguards
Personal data subject to this Privacy Policy is safeguarded from any and all parties outside of Frontia by technical, organizational and physical safeguards.
The right to access personal data is limited to the necessary personnel of Frontia who are obliged to process the collected personal data with confidentiality.
In the event of a breach on the measures taken to safeguard your personal data in a way that effects your privacy, Frontia will contact you and the necessary authorities timely as required by relevant legislation.
